How WillowCore Utility Ltd handles personal data when you enquire or commission a study.
Data controller

What we collect
- Enquiry form fields: name, email, optional study interest, campaign window notes, and message
- Email correspondence and call notes needed to scope a study
- ESP exports you supply for a commissioned study (which may include hashed or pseudonymised identifiers depending on your export settings)
We do not ask for payment card numbers through this website.
Purposes and lawful bases
- Responding to enquiries — legitimate interests in operating a professional practice
- Performing a contracted study — performance of a contract
- Keeping limited accounting records — legal obligation
- Optional analytics cookies — consent (see Cookies)
Retention
Enquiry emails are kept for up to 24 months if no contract follows. Contract records and invoices are kept for six years. Study working files are deleted or returned within 90 days after final delivery unless a retainer requires an archive, in which case retention is stated in the retainer confirmation.
Your rights
Under UK GDPR you may request access, correction, erasure, restriction, or portability where applicable, and you may object to processing based on legitimate interests. You may complain to the Information Commissioner’s Office.
International transfers
We store files on UK or EEA-hosted systems where practicable. If a processor outside those regions is required, we use an appropriate transfer mechanism such as the UK International Data Transfer Agreement.
Sharing
We share data with IT and email providers who process it on our instructions, and with professional advisers when required. We do not sell personal data.
